What GS1 barcoding is

GS1 is an internationally recognised standard for barcodes and product identification. In healthcare, GS1 barcoding captures not just what a product is, but which batch it belongs to and when it expires — the details that matter most for medicines and devices.

Why traceability matters

• Recalls — a specific batch can be identified and located quickly.
• Expiry control — FEFO picking is driven by captured expiry dates.
• Audit trails — movement can be documented from receipt to dispatch.

GS1 in a compliant warehouse

SFIMS uses GS1-approved barcoding across receiving, storage and dispatch, giving customers item, batch and expiry-level visibility. This is what turns "we store your stock" into "we can trace every unit of your stock" — a requirement for recalls and inspections.

What the barcode actually carries

The value is not the barcode but what is encoded in it. A healthcare barcode typically carries several data elements rather than one number:

• A global trade item number, identifying the product unambiguously across companies and borders.
• Batch or lot number, which is what makes a recall targeted rather than total.
• Expiry date, enabling FEFO to be enforced by scanning rather than by reading a carton.
• Serial number on some products, identifying the individual pack.

Product-only barcoding, common in general retail, cannot support any of this. It tells you what something is but not which of it you are holding.

Scanning at each step

The identifiers are only useful if they are read at the points where the record could otherwise drift:

Receiving captures batch and expiry at the moment goods arrive, rather than relying on manual entry from a delivery note.

Put-away ties the batch to a location.

Picking confirms the right batch was taken, and can block a pick that breaks the rotation rule.

Despatch records which batch went to which customer, which is the link a recall depends on.

Miss any one and traceability has a gap. Despatch scanning is the one most often skipped and the one a recall most needs.

What barcoding does not solve

It is worth being clear about the limits, because barcoding is sometimes treated as traceability itself.

It does not fix bad data at source: a batch entered incorrectly at receipt is then propagated accurately and confidently. It does not prevent physical mix-ups if stock is not segregated. It does not replace the temperature record, which is a separate evidence stream. And it does not make a recall fast on its own — that also needs current customer records and a process somebody has rehearsed.

Barcoding makes good process reliable and fast. It does not substitute for the process.
